School Tenant Provisioning & Onboarding
School Tenant Provisioning & Onboarding
When a new educational institution subscribes to YeneSchool, the Super Administrator provisions their isolated tenant workspace. This guide outlines the institutional onboarding lifecycle, database initialization, director credential generation, and domain routing.
1. Onboarding a New School Instance
To create a new school instance:
- Navigate to Super Admin > Schools (
/superadmin/schools). - Click Add New School (
+ Onboard School). - Fill in the institutional profile:
- School Name: Full legal institution name (e.g., St. George International Academy).
- Subdomain Identifier: Unique URL slug (e.g.,
st-georgeyieldsst-george.yeneschool.me). - School Code / Prefix: Institutional identifier used for auto-generating student IDs (e.g.,
SGA-). - Educational Level: Primary, Secondary, High School, or K-12 Comprehensive.
- Curriculum System: Ethiopian National Curriculum or International / Cambridge variant.
- Default Calendar: Ethiopian Calendar (EC) or Gregorian Calendar (GC).
- Assign the Primary Director:
- Provide full name, official email, and phone number.
- Select notification delivery channel (SMS or Email) for initial credential delivery.
- Click Provision Tenant. The system automatically creates default grading criteria, term calendars, and attendance session configurations.
2. Managing Quotas & Capacity Limits
To ensure optimal system performance and prevent abuse, each school instance enforces strict resource quotas based on their subscription tier:
| Quota Dimension | Free Tier | Standard Tier | Pro Tier | Enterprise Tier |
|---|---|---|---|---|
| Active Enrolled Students | 100 | 500 | 2,000 | Unlimited |
| Campus Branches | 1 | 2 | 5 | Unlimited |
| Staff & Teacher Accounts | 15 | 50 | 150 | Unlimited |
| Document Storage | 2 GB | 20 GB | 100 GB | Dedicated Bucket |
| AI Copilot Monthly Credits | 50 queries | 500 queries | 3,000 queries | Unlimited / Custom API |
To modify a school's quotas manually:
- Open the school profile in Schools > Actions > Edit Quotas.
- Enter new ceiling values and save changes. Overrides take effect immediately without service restarts.
3. Tenant Status Lifecycle
Super Administrators can toggle school tenant statuses to manage payment cycles and administrative states:
ACTIVE: Full platform access for all school users (students, parents, teachers, and administrators).PAST_DUE: 14-day grace period following subscription expiration. A prominent banner alerts the director, but normal classroom attendance and gradebook operations remain unlocked.SUSPENDED: Access restricted due to prolonged unpaid invoices or institutional policy violations. Staff and parents attempting login see a friendly notice directing them to school administration. Data remains intact.ARCHIVED: Read-only historical state for closed institutions or migrated schools.
