Stock In, Stock Out & Requisitions
Track every movement of supplies and assets into and out of the school storerooms with digital receipts and audit logs.
1. Recording Stock In (Purchases & Deliveries)
When new shipments or purchases arrive at the school:
- Navigate to Inventory → Transactions → Stock In.
- Click + New Stock In Entry.
- Enter:
- Supplier / Vendor Name: (e.g., Birhan Stationery Wholesalers).
- Invoice / Delivery Note #: Vendor invoice reference.
- Received Date: Date goods were accepted.
- Items & Quantities: Select items, specify quantities received, and enter unit purchase prices.
- Upload a photo or PDF scan of the signed delivery receipt.
- Click Confirm & Update Stock. Current on-hand balances increment automatically.
2. Teacher Requisition Workflow
- Submission: Teachers navigate to Store Requisitions and choose items required for their classroom (e.g., Whiteboard Markers, Chalk, Graph Paper).
- Review: The storekeeper or director receives a notification, inspects on-hand stock, and clicks Approve or Decline with Reason.
- Fulfillment: When the teacher collects the supplies, the storekeeper clicks Mark Issued, automatically reducing inventory levels and logging the transaction to the teacher's profile.
3. Damaged Goods & Write-Offs
When items become damaged, expired, or lost:
- Go to Inventory → Write-Offs.
- Select the item, quantity to remove, and reason (Damaged, Expired, Lost during transport).
- Require director authorization before permanent deduction from balance sheets.
