Subscriptions, Tiers & Payment Verification

Managing SaaS billing plans, manual Ethiopian bank slip review workflows, CBE and Telebirr verification, and automated renewal reminders.

Subscriptions, Tiers & Payment Verification

YeneSchool provides a tailored subscription and billing management system built for Ethiopian institutional finance realities. Schools can pay licensing fees through direct Ethiopian bank transfers (CBE, Awash Bank, Dashen Bank) or Telebirr mobile money, and Super Administrators review deposit receipts in a dedicated verification dashboard.

2. Bank Slip Verification Workflow

Because corporate credit card penetration is limited across educational institutions in Ethiopia, YeneSchool relies on Voucher / Bank Slip Verification:

  1. Open Super Admin > Payment Slips (/superadmin/payments).
  2. Review incoming transaction rows displaying:
    • School Name: Submitting institution.
    • Bank Name: Commercial Bank of Ethiopia (CBE), Telebirr, Awash, etc.
    • Reference / Slip Number: Physical voucher or mobile transaction reference ID.
    • Amount Paid (ETB): Total currency deposited.
    • Deposit Slip Attachment: Click to inspect high-resolution photo or PDF scan.
  3. Cross-Check with Bank Ledger: Ensure the reference ID matches the incoming bank balance report.
  4. Approve Payment:
    • Click Approve.
    • Select the subscription extension period (e.g., 6 Months, 1 Academic Year).
    • Enter internal transaction notes.
    • Confirm approval. The school's status immediately updates to ACTIVE, and a confirmation receipt is sent to the director.
  5. Reject Payment: If the image is blurry, expired, or fraudulent, click Reject, select a rejection reason (e.g., Unreadable Reference Number, Amount Shortfall), and provide guidance for the school.

3. Grace Periods & Automated Renewal Alerts

  • 30 Days Before Expiry: Director and School Owner receive weekly dashboard alerts reminding them of upcoming renewal.
  • 7 Days Before Expiry: Daily SMS and email alerts dispatched to administrative contacts.
  • Expiry Date: School transitions to PAST_DUE with a 14-day operational grace period.
  • Day 15 Post-Expiry: School transitions to SUSPENDED if no valid payment is verified.
