How to organize examination rooms, randomize seating charts, and prevent examination malpractice.
Exam Seating & Hall Allocation
The Exam Seating Engine in YeneSchool simplifies exam logistics by generating randomized, conflict-free seating plans across examination halls and classrooms.
1. Setting Up Examination Halls
- Navigate to Director → Assessments → Exam Halls.
- Click Create Hall / Room:
- Room Name / Number: e.g., Main Hall A, Room 204
- Total Capacity: Number of desks available
- Grid Layout: Specify rows and columns (e.g., 6 rows × 5 columns = 30 seats)
- Campus / Block: Assign to a specific physical branch or building.
2. Generating Seating Arrangements
- Go to Assessments → Seating Generator.
- Select the Exam Session and the target Classes participating.
- Choose the allocation strategy:
- Sequential by ID: Order students alphabetically or by student ID.
- Randomized Shuffle: Shuffle students across grades to ensure adjacent desks belong to different grades/subjects.
- Interleaved Classes: Alternate between Grade 9 and Grade 10 students row-by-row.
- Click Generate Seating Plan.
3. Printing Desk Slips & Hall Rosters
Once generated, you can export and print:
- Desk Slips: Small printable labels containing student name, photo, ID, and seat number to stick onto physical desks.
- Hall Entry Rosters: Master attendance sheets for invigilators to record student presence during the exam.
- Student Exam Passes: Printable admit cards distributed to students prior to exam week.
!TIP Interleaved seating significantly reduces cheating opportunities by ensuring adjacent students are writing different subject papers.
