Installment Plans

How YeneSchool generates installment schedules from fee structures, and how to manage due dates for each payment period.

Installment Plans

When you assign a fee structure to students, YeneSchool automatically generates an installment plan — a set of individual payment milestones with amounts and due dates. Understanding how installments work helps you track what is due and when.

How Installments Are Generated

Installment plans are created automatically based on the Billing Method of the linked fee structure:

Billing MethodNumber of InstallmentsDue Date Logic
Full Payment1Start of academic year
Per Term1 per termStart of each term
Per Semester1 per semesterStart of each semester
Monthly101st of each Ethiopian school month

!NOTE Due dates are calculated using the Ethiopian Calendar (EC). The first installment falls on the first day of the school year, and subsequent ones follow month-by-month or term-by-term.

Assigning a Fee Structure to a Student

  1. Navigate to the Outstanding Balances tab on the Finance dashboard.
  2. Search for the student by name or student code.
  3. If no fee record exists yet, go to Students → Student Profile and assign a fee structure from their finance section.
  4. Once assigned, the system generates all installments immediately and they appear in the student's fee balance.

Viewing a Student's Installment Schedule

  1. Click Record Payment on the Finance dashboard.
  2. Search for the student's name in the search box.
  3. Select the student from the results.
  4. Open the Fee Item dropdown — each installment (e.g., Tuition – Meskerem, Tuition – Tikimt) is listed separately with its remaining balance.

!TIP When a student has multiple fee items, always confirm which installment you are recording the payment against before saving — each installment is tracked separately.

!IMPORTANT Partial payments are supported. You do not need to pay the full installment amount at once; the remaining balance stays on record until fully settled.
