Generate Report Cards

How to generate, publish, and print end-of-term student report cards in YeneSchool.

Generate Report Cards

Report cards summarise a student's academic performance for a term — marks per subject, overall percentage, rank in class, and attendance. In YeneSchool, report cards go through a three-stage lifecycle before students can see them.

Report Card Lifecycle

StageWho Can See ItWhat It Means
DRAFTRegistrar, DirectorGrades are entered but not final
PUBLISHEDStudent, Parent, TeacherOfficial — visible to all linked users
ARCHIVEDRead-only for allFinalised historical record

!NOTE Only PUBLISHED report cards are visible to students and parents. Always review carefully before publishing.

Step 1 — Select the Term and Classes

  1. Go to Director → Report Cards from the side menu (the Registrar has access to this section).
  2. Select the Academic Year and Term (Semester 1, Semester 2, or the configured term name).
  3. Select one or more Classes to generate report cards for. You can select an entire grade level at once.

Step 2 — Generate Report Cards

  1. Click Generate Report Cards. YeneSchool pulls grades from the Gradebook and attendance from the Attendance module for each student in the selected classes.
  2. Each card is created in DRAFT status automatically.
  3. A summary shows how many cards were generated and whether any students had missing grades.

!WARNING Report cards cannot be generated if teachers have not entered grades in the Gradebook for the selected term. Confirm with teachers that all marks are entered before proceeding.

Step 3 — Review and Add Remarks

  1. Click any student's name to open their draft report card.
  2. Review marks, percentages, and rank.
  3. Add or edit the Teacher's Remarks field if needed.

Step 4 — Financial Clearance (Optional)

If your school has the financial clearance gate enabled, students with outstanding fee balances will be flagged. You can choose to:

  • Hold their report card in DRAFT until fees are paid.
  • Override the gate and publish anyway (requires Director approval at some schools).

Step 5 — Publish

  1. Select all the reviewed report cards (or click Select All).
  2. Click Publish. The status changes to PUBLISHED and students and parents can now see them.

Step 6 — Print or Download PDF

  1. Select one or more published report cards.
  2. Click Print to open the browser print dialog, or Download PDF to save a file.
  3. For bulk printing an entire class, click Print All on the class report cards page.

!TIP Use Ethiopian Calendar dates if your school operates on the EC. The report card printing respects the calendar type set in your school settings.
